1. Introduction
Get Fit Wise provides personalized coaching in health, nutrition, and training. To do this well, we process information about you — including information about your health, which is sensitive and which we treat with special care.
This policy explains, in plain language, what information we collect, why, who we share it with, how long we keep it, and what you can ask of us regarding it.

2. Who we are

We are responsible for the information described in this policy — we decide why and how it is used, and we answer for it.
A note on HIPAA. We do not bill health insurance companies and HIPAA (the US health information protection law) does not regulate us. Even so, we store exactly the type of health information that HIPAA was written to protect, so we have decided, by our own choice, to apply HIPAA-level privacy and security safeguards to it. This is a commitment to which we bind ourselves, and which we describe in concrete terms in sections 10, 14, and 15, so that you can also hold us accountable for it. We also comply with applicable federal and state privacy laws.
3. To whom this policy applies
Clients who use the Get Fit Wise mobile application and are enrolled in one of our programs.
Prospective clients who submit an inquiry or sign-up form.
Former clients who receive an exit questionnaire.
Our coaches and team members, who use our internal tools and the GFW Team application.
4. What information we collect
About you
Your name, email address, phone number, physical address, date of birth, gender, country and city, profession, preferred language, and time zone. A profile picture, if you choose to add one.
About your health and your progress
This is the heart of the service, and most of it exists because it was entered by you or your coach:
Measurements — weight, height, body composition, body fat percentage, waist circumference, blood pressure, and assessments that your coach or health professional records.
Health history — any health conditions or concerns you communicate to us upon signing up or during the program, and the notes your coach records about your coaching and progress.
Lab results — blood tests and other exams you upload or that we record for you, including individual values and their interpretation.
Nutrition — your meal plan, meals and drinks you log, and photos of meals you choose to take.
Precise device location during outdoor workouts — GPS coordinates, accuracy, altitude, speed, and timestamps, accessed only while an outdoor walk or run initiated by you is active, including in the background, as described in section 7.
Training — your workout plan, the sessions you complete, and your progress over time.
Check-ins — responses from your weekly check-ins and any progress photos or videos you choose to submit.
Your journal and mood logs, if you use this feature.
Menstrual cycle information, if you choose to enable cycle logging. See section 6.
Activity and wellness data from your phone or wearable device, if you choose to connect one. See section 5.
About your program and our relationship with you
Your program status and history, details of your package and subscription, your service contract, appointments, invoices and payment status, messages and voice notes you exchange with your coaching team, and any files you send.
About your account and your device
Your access credentials — your password is stored only in an encrypted, unreadable format, and cannot be recovered or read by us or our team members. We also keep a log of your active sessions, the devices you logged in from, and your notification preferences, so you can view and end any session you do not recognize.
If you are a prospective client
The answers you provide in our sign-up form, including basic health questions we use to decide if we can safely accept you, and an anti-bot check that confirms the form was submitted by a person.
5. Health data from phones and wearables
If you choose to connect Apple Health, Android Health Connect, or a device account such as Fitbit, Oura, Garmin, Whoop, or Samsung Health, we can read activity and wellness data such as steps, distance, workouts, active energy, sleep, heart rate, and related recovery metrics.
It is completely optional. The app works without it.
We only read categories you approve on your phone's or provider's permission screen. If you approve steps but not sleep, we only receive steps.
We do not read anything unrelated to your program, and we do not read your contacts, messages, photo gallery, or your device's web browsing.
You can disconnect at any time — in the app, in your phone's Health or Health Connect settings, or with your device provider. Once disconnected, we no longer receive any data.
When enabled, we may write your own results back to your phone's health app — for example, a completed workout or a logged weight — so that your records remain consistent.
We never use health data from your phone or wearable device for advertising or marketing, and we never sell it or share it with data brokers.
6. Optional features you control
Some of the most sensitive things we handle are turned off until you enable them.
Cycle logging is off by default. If you set it up, you can log period dates, symptoms, mood, energy, and medication reminders, and indicate your status — for example, if you use contraception, are pregnant, breastfeeding, or prefer not to say. You choose, for each log, whether it remains private or is shared with your coaching team.
Progress photos and videos are only collected when you submit them.
Body scanning, where available, produces images that are deleted after being processed. Anything you have not chosen to share with your coaching team is automatically deleted within 24 hours. If we ever ask to retain your images to improve our measurement tools, it will be a separate request with its own consent, copies are stripped of your name and identity, and you can withdraw consent at any time — which deletes them.
Marketing messages are separate from service messages. Submitting an inquiry does not place you on a marketing list; only a specific opt-in does, and you can unsubscribe at any time.
Using your photos in our marketing requires your authorization, recorded as one of three options: usable with your face, usable without your face, or not authorized. You can withdraw this authorization for future uses at any time.
7. Location
The Get Fit Wise mobile app accesses precise location data only to record distance, pace, altitude, and split times during an outdoor walk or run that you deliberately start in the app. With your permission, location collection continues in the background while that workout is active — including when the app is closed or not in use, when you use another app, or when you lock your phone. This prevents the workout route from losing distance while the Get Fit Wise screen is not visible. Location tracking stops when you pause, complete, or discard the workout.
Raw GPS coordinates are processed on your device. The app temporarily keeps the current workout's GPS state in encrypted device storage, so an active workout can survive the app going into the background or a restart. Raw GPS coordinates are not sent to Get Fit Wise servers or shared with third parties. They are removed from the device when the workout is completed or discarded, when you log out, or when the active session is cleared.
Only derived workout metrics — such as total distance, moving time, pace, altitude, and split times — are sent to and stored in your Get Fit Wise account as part of your workout history. We do not build or store a route history. We do not use precise location or derived workout metrics for advertising, marketing, or third-party analytics, and we do not sell them. Derived metrics are used in the app to display your workout history and progress.
Location access is optional. If you do not authorize it, GPS distance and pace in outdoor workouts cannot be recorded, but the rest of the app continues to function. You can withdraw authorization at any time in your phone's settings.
8. Payments and subscriptions
We do not sell subscriptions or digital content inside the app. There are no in-app purchases.
Your program is defined within the scope of your enrollment in Get Fit Wise, under a service contract between you and us. Payment is made through our payment processor or by bank transfer, outside the app.
We never see or store your card details. Card payments are handled directly by our payment processor. We only store your invoices, receipts, payment status, and the reference linking you to your billing record.
You can cancel your subscription at any time in the app's Account settings. See section 16.

We do not use your health information for advertising, profiling, or building audiences.
When we rely on your consent, you can withdraw it at any time, and this does not make anything we did before unlawful. Withdrawing consent for a feature stops collection through it. It does not delete records we are required to keep for professional or legal reasons — see section 12.
10. Who we share with
We do not sell your information. We do not use it for advertising and we do not allow others to do so. We have not sold or shared personal data for advertising purposes in the last 12 months.
We share it only with the service providers we need to operate, under written contracts that bind them to protect it, use it only according to our instructions, notify us promptly if anything goes wrong, and never use it for their own purposes:

Your coaching team at Get Fit Wise can see your records when you are assigned to them or when their role requires it. Notes you mark as private are not visible to them, and notes marked as internal are not shown in your app.
We may also disclose information when required by law, in response to valid legal process, to prevent a serious threat to health or safety, to exercise or defend a legal right, or in connection with a sale or reorganization of the business — in which case we will notify you in advance.
We never put clinical details in notifications, text messages, or emails. These messages ask you to open the app; they do not contain your results, diagnosis, or a preview of your chats.
11. Artificial Intelligence
Some features use AI to save time for you and your coach:
estimating the nutritional breakdown of a meal photo or menu you upload;
reading values from a lab report or assessment you upload, so they do not have to be written by hand;
drafting summaries of your sleep, recovery, or cycle patterns.
Three things you should know:
Your information is never used to train anyone's AI models. We send it only for processing, and it is not kept by the provider after that.
The AI output is a draft, not a decision. A nutritional estimate does not count toward your intake until you confirm it. Values read from a lab report are verified by a team member before they appear in your record.
No decision with a significant impact on you is made solely by a machine. It is your coach or health professional who decides.

Deleting your marketing contacts does not delete your health record, invoices, or signed contract — those follow the periods above, because we are required to keep them.
13. Where information is stored
Your information is stored and processed in the United States of America. If you use the service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, where privacy laws may differ from those in your country.
14. How we protect it
We take security seriously, precisely because of what we store. In concrete terms:
Your information is encrypted while in transit to and from our systems, and while stored.
Passwords are stored in a way that cannot be read or reversed, by us or anyone else.
Our team members log in with two-factor authentication — a security key or an authenticator app, in addition to the password — and their devices must be individually approved.
Team members only access records of clients assigned to them or whose role requires it. Being assigned a task regarding you does not, by itself, give access to your entire file.
Sensitive fields are separated: your private journal and cycle logs are not visible to team members, and fields marked as internal are not shown in your app.
We keep logs of who changed what, so access can be reviewed.
We can end any session remotely, and access is removed immediately when someone leaves the team.
Our team receives privacy and security training, and we periodically review our safeguards.
No system is completely secure. If a security breach affects your health information, we will inform you — and notify the Federal Trade Commission and competent state authorities when required by law — within the legally required timeframes.
15. Your rights
Several of the rights below — asking for the list of who we shared your information with, asking to correct a record, asking us to contact you in a certain way — are rights that HIPAA grants to patients. HIPAA does not require us to grant them. We grant them anyway, as part of the commitment made in section 2.
You can ask us to:
Show you the information we have about you and provide you with a copy.
Correct or rectify what is wrong or incomplete.
Delete your information, without prejudice to the records we are required to keep (section 12). You can also do this yourself at any time — see section 16.
Tell you who we shared it with and what was shared.
Limit how we use or share certain information, including while a dispute regarding it is being resolved.
Contact you in a specific way — for example, only by email or only at a certain number.
Take it with you — receive what you provided us in a portable format, or ask us to send it to another provider.
Stop sending you marketing, at any time and without needing to justify it.
Withdraw consent for any optional feature, at any time.
To exercise any of these rights, contact contact@getfitwise.net. We respond within 7 days. If the request is complex, we may need up to an additional 30 days, and we will notify you in that case. We may need to verify your identity first.
We will never treat you differently for exercising these rights — no reduction in service, no different pricing.
If we decline, we will explain why in writing, and you can appeal at contact@getfitwise.net. If you are still not satisfied, you can file a complaint with the Federal Trade Commission or your state's Attorney General. We will not retaliate in any way for filing a complaint.
Closing your account. You can deactivate or permanently delete your account in the app's Account settings. See section 16.
16. Deactivating or deleting your account
Your account is under your control. Both options are in the app's Account settings.
Deactivate
Deactivating suspends your account. Your program stops, your subscription is canceled, and you stop receiving messages and notifications from us. Your information is kept, so that if you return later, your history and progress will still be there.
To reactivate, contact us at contact@getfitwise.net.
Cancel Subscription
You can cancel your subscription in the Account settings without closing your account. Cancellation stops future charges. It does not automatically trigger a refund for amounts already paid or release you from any minimum period you agreed to — those matters are governed by your service contract with us.
Delete your account
Deletion is permanent and cannot be reversed. Before you confirm, the app shows you exactly what deletion means: what information will be deleted and what records we are required to keep — so there are no surprises afterward.
To protect you against someone else deleting your account, we ask you to re-enter your current password and then explicitly confirm the action.
What happens the moment you confirm:
You are logged out of all devices, and all active sessions are revoked immediately.
Notifications stop, your device is unregistered, and any scheduled reminders are canceled.
Your profile and account details are deleted.
Your content is deleted — journal logs, cycle logs, meal and hydration logs, check-in responses, progress photos and videos, uploaded documents, messages, and any other files you added.
Synced health and activity data from your phone or wearable device is deleted from our systems. Data stored in Apple Health, Health Connect, or your device provider's account belongs to you and is not affected — remove it there if you want it gone.
Anything we cannot delete is anonymized or blocked, so it can never be linked back to you or accessed in the normal course of business.
What we must keep. A small set of records survives deletion because the law or our professional obligations require it — health records subject to a retention period, invoices and tax records, and signed contracts. They are listed in section 12 with their respective retention periods. We keep them under restricted access and delete them at the end of the period. We will tell you specifically what was kept and why, so you have it in writing.
If you prefer us to handle the deletion, or if you can no longer log in, contact contact@getfitwise.net and we will take care of it. We respond within 7 days.
17. Minors
Get Fit Wise is intended for adults. The service is not directed to individuals under 18 and we do not knowingly collect information about children. If you believe we have done so, contact contact@getfitwise.net and we will delete it.
18. Cookies
Our app and web platform use only the cookies necessary to keep you logged in and to keep your session secure. We do not use advertising cookies or third-party tracking, and the apps do not use advertising identifiers.
19. Changes to this policy
If we change this policy, we will post the new version here with a new effective date. When the change is significant, we will inform you in the app or by email before it takes effect and, where required by law, we will ask for your consent again.
